Lead-Assistant Swim Coach/Aquatics Coordinator

We are looking for a highly organized and communicative Lead Assistant Coach & Aquatics Coordinator to be responsible for assistant  Swim and dive coaching duties as well as our Aquatics Program management. Work in key program areas, including recruiting, practice/competition planning, and administrative tasks.

This position will also assist the Head Swim & Dive Coach with the overall planning, development, management and supervision of all community aquatics programs offered at Biola University.

Coaching Duties and Responsibilities

  1. Loyal, team-first, Christian role model, who buys into, models, and teaches the philosophies of the program.
  2. Represent the Lord, Biola University, & Swim/Dive program in a responsible and professional manner.
  3. Be present and assist with all fall and spring training sessions and competitions (unless previously arranged).
  4. Know and adhere to all university, conference, and NCAA policies and procedures.
  5. Learn and utilize ARMS compliance software for all compliance tracking and reporting.
  6. Complete all NCAA D2 University mandatory courses annually, prior to participating in any CARA activity and off-campus recruiting.
  7. Assist in the coordination of recruiting efforts.
  8. Attend competitions off-campus to recruit PSAs, submitting all forms prior to off campus recruiting, as directed by the head coach.
  9. Maintain email and phone contact with PSAs and log all PSA contacts in ARMS within 48 hours.
  10. Set up and complete unofficial and official visits with PSAs and all associated compliance paperwork in ARMS including transcript submission, visit request form(s), student host forms, etc.
  11. Accurately log CARA activity in ARMS and submit it to the compliance office prior to the deadline on a weekly basis.
  12. Monitor and oversee the study hall program.
  13. Assist with organization of fundraising efforts throughout the year.
  14. Work with coaching staff to coordinate service projects for the team throughout the fall and spring
  15. Submit the appropriate approval forms via ARMS accurately and on time.
  16. Manage uniform and gear needs for the team including ordering, filling out/turning in forms.
  17. Other duties as assigned.

 

Aquatics Coordinator Responsibilities:  

  1. Oversight of daily pool operations.
  2. Assists the Director and Aquatics Program Administrative Assistant in the hiring, training, and supervision of all student workers to deliver each program component.
  3. Coordinates scheduling of aquatics staff to provide proper program delivery.
  4. Keeps record of aquatics staff certifications and ensures all staff maintain current certifications.
  5. Maintains records of attendance and monitors payments for each program participant.
  6. Maintains pool, equipment, and grounds to meet all necessary program and regulatory standards.
  7. Maintains relationships with vendors and member service with parents and program participants.
  8. Responsible for filling gaps in the lifeguard and swim instructor schedule.  Follow systems, practices, and training related to risk management and safety of participants and staff, and follow accident report procedures and policies.
  9. Completes payroll for all aquatics staff.
  10. Other duties as assigned by the supervisor.

Qualifications

  • Bachelor’s Degree.
  • One (1) year of experience in coaching college sports or in a related role.

Preferred Qualifications

  • Bachelor’s Degree in sports science or sports related field.
  • Strong knowledge of effective coaching practices, including the integration of technology into instructional methods.
  • Experience using software systems, namely- HYTEK, Swim Cloud, ARMS, and Excel.
  • Knowledge of NCAA and Conference Rules and Regulations as they pertain to student-athletes.
  • Strong organizational skills.
  • Prior experience in sport sciences.
  • Excellent verbal and written communication skills.
  • Demonstrated management skills and knowledge of supervision and management practices.
  • Ability to contribute to the recruitment of prospective student-athletes.
  • Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.
