Business Manager/ Grant Writer
The Buffalo City Swim Racers is in search of a Business Manager to assist with the operations of our swim club. This organization has both Learn to Swim and Competitive Swim programs. We’re looking for a highly organized and efficient professional with business management experience and a basic understanding of swim clubs, though we are willing to provide in-house training. The successful candidate will provide assistance with all business management activity, including those in accounting and customer service. BCSR is looking for an individual who is comfortable working on tasks both independently or with employees and/or leadership and who can contribute to the overall improvement of our club’s efficiency and productivity metrics.
Responsibilities Include:

Business Management
• Ensure insurance, city, county, state, grant and swim association compliance
• Build relationships with community agencies, organizations, businesses and foundations
• Assist with travel arrangements, registration for conferences/trainings, expense reimbursement and credit card receipt submission
• Coordinate administrative processes for grant and fundraising creation
• Research grant opportunities for the purpose of developing additional funding resources for both current and proposed services, programs and administrative operations
• Assist with online process for data entry and data management of grant applications and account management
• Ensure grant progress reports are submitted in a timely fashion: perform report review and reconciliation to make sure objectives are met and prepare summaries for review
• Prepare reports, memos, letters and other documents, using word processing, spreadsheet, database and presentation software
• Prepare correspondence, arrange conference calls, and schedule meetings
• Collaborates with a variety of entities and community organizations for the purpose of securing funding to maintain and enhance services and/or programs
• Develops forms, processes, procedures and policies fort the purpose of implementing a consistent grant application methodology
• Develop grant applications and related documents for the purpose of submitting to the appropriate funding agency
• Maintenance of organization financial records
• Make necessary payments after approval from Executive Director
• Work with the Executive Director and program personnel to develop an annual budget that will be proposed to the BCSR Board of Directors
• Support the BCSR Strategic Plan

• Supports Head Coach/ Executive Director and team policies
• Conducts himself/herself with the highest moral and ethical standards
• Follows the chain of command starting with the head coach to board president to board of directors
• Establishes an environment that fosters positive team attitudes, encourages self-discipline, sportsmanship and responsibility
• Promotes the organization
• Maintains current USA Swimming coach membership including completion of all required safety courses
• Maintains full compliance with USA Swimming Code of Conduct
• Positive role model to athletes
• Seek and attend educational opportunities offered by the organization or beyond

• Proven track record of on-boarding, training and motivating administrative employees
• Excellent communication, time management, leadership and employee development skills
• Ability to work independently under time constraints

• Bachelor’s degree preferred, preferably with relevant experience in the local nonprofit industry
• One to three years relevant experience, or equivalent combination of education and related experience
• Capable of exercising good judgement, when it comes to problem-solving and setting priorities
• Accuracy, speed, tact and discretion are all essential in this position
• Professional written and verbal communication skills
• Attention to detail
• Experience in research and knowledge management techniques
• Advanced computer skills including Microsoft Word, Excel, PowerPoint and Adobe Acrobat
• Demonstrated ability to maintain constructive relationships with persons of diverse backgrounds and organizations throughout the WNY community

• A valid driver’s license and use of a vehicle for travel between sites
• Prior management experience
• Knowledge and working experience with athletic programs and teams
• Grant writing experience
• Experience with social media, website support, Hytek Team Manager software and Team Unify software
SALARY: Commensurate with experience
